Full Job Description

Successful Professional Services firm in Prescott, Arizona seeking an Executive Office Administrator to manage the day-to-day operations of a 10-person financial services firm. This includes, but isn’t limited to:
Answering phones, greeting clients, scheduling client appointments, filing, production of client documents and statements, and light bookkeeping.
Special projects may include:

  • Posting on our website and social media sites
  • Conducting client and internal surveys
  • Developing, expanding and documenting processes and procedures for an efficient office
  • Communicating with staff and clients in writing and via phone.
  • Planning client and staff events (retreats, benefits, etc)
  • Transitioning office to a more efficient environment
  • Learning new applications and software to roll-out to office
  • Assisting with marketing documents, flyers, advertisements as requested
Skills/Requirements:
  • Excellent client service – be friendly and welcoming
  • Articulate and professional communicator, both verbally and in writing
  • Strong project management skills – follow through, organization and communication
  • Experience with Microsoft Office software (Excel, Word, and Outlook)
  • Working knowledge of QuickBooks, basic accounting skills
  • Willingness to learn new things; attend trainings and train others
  • Good listener and attention to detail
  • Display confidentiality and integrity in all aspects of the business

Job Type: Full-time

Pay: From $15.00 per hour

 

Schedule:

  • 8 hour shift
  • Monday to Friday

Experience:

  • Social Media Management: 3 years (Preferred)
  • Reception/Office Manager/Administrator: 3 years (Required)

Education:

  • High school or equivalent (Required)

Typical start time:

  • 8AM

Typical end time:

  • 5PM
